Best Practice - Using Tasks for Daily and Weekly Routines

Updated today

Tasks are powerful for managing daily operations. Here's how to use them effectively.

Daily routines:

Create recurring tasks for daily checks:

1. Morning setup

  • Task: "Unlock and prepare rooms"

  • Assigned to: Opening staff

  • Recurring: Every weekday, 7:00am

2. Health checks

  • Task: "Complete daily health and safety checklist"

  • Attached: Health checklist form

  • Assigned to: Room leaders

  • Recurring: Every day

3. End of day cleanup

  • Task: "Lock up and complete closing checklist"

  • Assigned to: Closing staff

  • Recurring: Every day, 5:30pm

4. Weekly routines:

  • Monday: Staff meeting prep

  • Tuesday: Menu planning

  • Wednesday: Fire drill check

  • Thursday: Supply inventory

  • Friday: Weekly report to Approved Provider

Pro tip: Use Kanban view

Create columns:

  • To Do Today

  • In Progress

  • Blocked

  • Done

Staff can see at a glance what's happening.

Tag tasks by area:

Use categories or "rooms":

  • Kitchen

  • Nursery

  • Kinder

  • Office

  • Outdoor

This helps filter tasks by area.

Attach checklists:

Don't just write "Clean kitchen" – attach the actual cleaning checklist, so staff know exactly what to do.
